Cancellation Policy

HIRE SOLAH ENTERPRISE (Registration No: 202403296986 / CT0143106-H) has established this cancellation policy to ensure clarity regarding project termination. Please review this policy before engaging our services. This policy details the procedures, fees, and obligations associated with cancelling projects or services.
We understand that circumstances change, and sometimes projects need to be cancelled. This policy aims to establish fair terms for both parties in such situations, recognizing the investment of time and resources already committed to your project.
Definitions
For the purpose of this policy:
- Cancellation: The termination of a project or service before its scheduled completion
- Initial Planning Phase: The period after project commencement when requirements are gathered and project plans are developed
- Development Phase: The period when actual creation, coding, or design work is being performed
- Final Review Phase: The period when completed work is being refined based on feedback
- Project Completion: The point at which all deliverables have been provided and approved
Client Cancellation
Clients may cancel services under the following conditions:
- Cancellation must be submitted in writing via email to hiresolah24@gmail.com
- The cancellation notice should include your name, project details, and reason for cancellation
- Clients will be billed for all work completed up to the cancellation date
- The initial deposit is non-refundable regardless of when cancellation occurs
- Cancellation fees may apply depending on the project stage (see below)
- All cancellations will receive a written confirmation from us within 3 business days
We request that clients provide as much notice as possible when cancelling a project. This allows us to adjust our resource planning accordingly.
Cancellation Fees
Cancellation fees are structured as follows and are calculated based on the total project fee:
- Cancellation before project start (after signing contract but before work begins): Forfeit of deposit only
- Cancellation during initial planning phase (requirements gathering, project planning): 25% of total project fee
- Cancellation during development phase (active creation, design, coding): 50% of total project fee
- Cancellation during final review phase (refinement, client feedback implementation): 75% of total project fee
- Cancellation after project completion but before final delivery: 100% of total project fee
These fees represent the resources already invested in your project and the opportunity cost of having allocated our team to your project instead of others. The exact amount will be calculated based on the specific circumstances of your project and communicated to you in writing.
Notice Period
While we accept cancellations at any time, providing adequate notice helps both parties manage the transition more effectively:
- For small projects (less than 1 month duration): 7 days notice recommended
- For medium projects (1-3 months duration): 14 days notice recommended
- For large projects (over 3 months duration): 30 days notice recommended
Providing the recommended notice period may result in more favorable terms regarding work-in-progress and deliverables already completed.
Rights to Work Completed
In the event of cancellation:
- Any work completed and paid for up to the cancellation date will be provided to the client
- Work that has been completed but not yet paid for remains the property of HIRE SOLAH ENTERPRISE
- Partial or incomplete work may be provided at our discretion, depending on its state of completion
- Source files will only be provided if specified in the original contract and if payment has been received for them
Service Provider Cancellation
HIRE SOLAH ENTERPRISE reserves the right to cancel services in the following situations:
- Client breaches the terms of service, including but not limited to harassment of staff, unreasonable demands, or illegal requests
- Client fails to provide required information or materials after multiple requests and reasonable deadlines
- Client fails to make scheduled payments or has outstanding invoices beyond payment terms
- Unforeseen circumstances beyond our control, including staff illness, natural disasters, or other emergency situations
- Discovery that the project involves illegal activities or content that violates our ethical standards
In the event we must cancel services, we will provide a refund for work not completed, minus applicable fees and costs incurred. We will also make reasonable efforts to:
- Provide at least 14 days notice when possible
- Deliver any completed work that has been paid for
- Recommend alternative service providers if appropriate
- Assist with a smooth transition to another provider
Exceptions
In certain circumstances, exceptions to this cancellation policy may be considered:
- Medical emergencies with supporting documentation
- Significant business changes such as bankruptcy or closure
- Force majeure events affecting either party
Exceptions are evaluated on a case-by-case basis and we reserve the right to request documentation supporting the exception request.
